The Challenge
As part of updating HR processes, the organisation introduced SAP SuccessFactors — including Employee Central, Recruitment, and a Learning Management System — across more than 50 locations in South Africa and Namibia. A major barrier was that many employees did not have strong computer skills and lacked access to laptops, requiring them to use the system on mobile devices.
Our Approach
We used a structured change approach to prepare HR communities across 50+ locations. This included refresher workshops, a rollout toolkit, and guided change plans. To reduce HR workload and keep messaging clear, we created ready-to-use content including presentations, user guides, and email and SMS campaigns stored on a shared intranet page. We tracked change readiness and transition progress using an online tool, flagging risks to regional HR managers in real time.
Measurable Outcome
The rollout was completed across 50+ locations spanning two countries. Before go-live, targeted awareness campaigns drove mobile app downloads among employees without laptop access. Local champions provided hands-on support, and ongoing progress tracking enabled the team to identify and resolve barriers quickly, maintaining momentum through a phased rollout.
